Icklesham Trust Committee Conditions of Hire

Thank you for choosing to hire Icklesham Memorial Hall or Pavilion. By booking you agree to the following terms and conditions of use.

  • Supervision
    During the period of hire the hirer is responsible for the premises, both fabric and contents, and for the behaviour of those using the premises. This includes ensuring that the car park is used safely and does not cause obstruction to the adjoining roads.  
  • Capacity and Hours
    The number of people using the hall must not exceed  100. Open hours are 9am to 10.45pm weekdays and 9am to 11.45pm weekends
  • Bookings
    must be made through the Booking Secretary at info@ickleshamhall.co.uk. Payments must be made at least 14 days prior to the booking. Refunds on cancellations are at the discretion of the Icklesham Trust Committee (ITC).
  • Loss or damage
    The hirer is responsible for any damage to the fabric or contents of the premises during the hire and will be required to pay for making good any loss or damage. All damage must be reported. The ITC is not liable for any personal property or equipment brought to the hall or pavilion. In the event of the hall/pavilion or any part of it being rendered unsuitable for the use for which it has been hired the ITC shall not be liable for any damage or loss.
  • Unlawful Use
    The hirer shall not use or allow the use of any unlawful activity. The hirer shall not bring items on to the premises that may endanger the hall/pavilion or its equipment, including flammable items.
  • Insurance
    The ITC has public liability insurance in place but this does not cover some sporting or play equipment. Please contact the Booking Secretary if in doubt.
  • Storage 
    Clubs may store items on the premises by prior arrangement with the ITC. These are stored at the owners risk and may not include any hazardous or highly flammable items.
  • Alcohol
    The hirer shall be responsible for obtaining and displaying a Temporary Events Notice from Rother District Council if they wish to sell alcohol on the premises. Alcohol is permitted on the premises provided it is not offered for sale.
  • Performing Licences.
    The ITC holds Performing Rights Society and Phonographic Performance Limited Licences for music.
  • Smoking
    is illegal on the premises. Vaping and e-cigarettes are not permitted.
  • Opening and Closing the Hall/Pavilion
    The Booking Secretary or another ITC member will be responsible for providing a key safe code for private functions. Code holders must ensure that the Hall/Pavilion is locked when they leave and the key returned to the safe. ITC Members have the right to enter the Hall/Pavilion  at any time for inspection purposes.
  • Local Elections
    The ITC reserves the right to cancel a hiring in the event of the Hall being required to be used as a Polling Station. The hire fee will be refunded.
  • Kitchen
    Use of the kitchen is included with all hiring. Children are not permitted to enter the kitchen. All equipment and utensils must be left clean.
  • Fire Precautions
    Fire exits must be kept clear during the hire and emergency lights kept on to ensure safe exits. The fire brigade must be called in the event of fire. The hirer shall ensure that at least 2 adults are familiar with the location of the fire exits, fire safety equipment and first aid equipment. Naked flames and fireworks are not permitted in the Hall or the outside areas.
  • First Aid
    At least 2 adults must be familiar with the location of the First Aid Equipment in the kitchen. Accidents must be recorded in the Accident Book located next to the First Aid Kit.
  • Cleaning and Rubbish
    Hirers must take all of their rubbish away with them at the end of the hire. The Hall/Pavilion, kitchen and toilets must be left tidy and clean at the end of the hire. Cleaning equipment is provided.
  • Disabled Access
    The Hall and Pavilion are accessible for wheelchairs but please note that there is no disabled access on to the stage.
